Transfers

Policy and Principle

Wards and branches can transfer certain types of funds to other units within their country. For example, a ward can transfer Budget or Other funds to the stake or a unit outside of their stake to pay for an activity that many units are participating in. A unit can only transfer ward missionary funds to other units within their stake or district.

Stakes and districts can transfer funds to all units within their country and transfer excess ward missionary funds and excess budget funds to Church headquarters.

Transfers within one’s own unit generally should occur between like categories. However, with Leader and Clerk Resources (LCR), transfers within the stake or district by the ward/branch or stake/district can also include Budget to Other.

Transfers cannot create a negative balance (overdraft) in the “Transfer From” category for the unit. Units cannot request funds from another unit using transfers.

All transfers must be approved by two finance approvers. One must be a member of the bishopric or presidency. Transfers can only be done by finance approvers within their own unit. For example, a stake cannot approve a transfer created by one of its wards.

LCR Procedures

Below are the most common procedures for recording, approving, reviewing, and monitoring transfers for your unit. Your procedures could vary slightly. If you have questions, contact your administrative office.

Entering Transfers

To begin the transfer process or to see the details of previously approved transfers, select Finance on the LCR menu bar then Transfers. The Transfers screen is displayed, showing four tabs. The Enter Transfers tab is the default tab.

  1. Enter a transfer Purpose.
    • Transfers must have a clear description of the event represented.
  2. Select a From category or subcategory using the selector.
    • All subcategories and unit subcategories allowed for transfers will be displayed in the drop-down box.
  3. View the available amount displayed of the subcategories and unit subcategories selected.
  4. Enter a Comment for the From line if desired.
  5. Enter an Amount.
  6. Add a new From row if needed.
    • Categories for all subsequent lines will be based on the first category selected.
      • Example: When Ward Missionary is selected as the first category, only Ward Missionary can be seen in other line category selections.
      • Example: When Budget is the first category selected, only the Budget and the Other categories may be selected.
  7. Select a To category or subcategory using the selector.
    • All subcategories and unit subcategories of your unit allowed to receive a transfer from the designated From category in step 2 will be displayed in the drop-down box.
  8. If you are transferring funds outside of your unit, select Transfer Out of Unit and select the unit within your stake or district, if you are transferring funds outside of your stake or district, select Transfer out of Stake/District.
    • Enter the Unit Name or Number. Type-ahead search is available.
  9. Enter a Comment for the To line if desired.
  10. Enter the Amount.
  11. Add another To line if needed.
  12. Make sure the transfer balances.
  13. Attach a scanned document related to the transfer.
    • Transfers should have supporting documentation that may include a written comment.
  14. Select Review to see the attachment; select Accept, or if unacceptable, select Reject and then retry the Attach process.
  15. Select Save to submit the transfer.
  16. The transfer is saved and added to the Approve Transfers screen.

Approving Transfers

To approve transfers:

  1. If no documentation is attached, select Approve to approve the transfer. Skip to step 3.
    • To stop the transfer from occurring, select Reject. The transfer will be added to the Pending Transfers screen for review and can be edited or deleted.
  2. If documentation is attached, select Review Attached Documentation.
    • Select Review. Each item of documentation must be reviewed before the transfer can be approved.
    • Select Accept if the documentation properly supports the transfer.
  3. The Approve box will be displayed. The first approver will be the person who entered the transfer.
    • The second approver will be prompted to enter their LDS Account username and password.
  4. The approved Transfer will be added to the Transfers Summary screen.

Note: The unit leaders who approved the transfer transaction will be notified of the approved transfer in the weekly email to unit leaders.

Pending Transfers

If a transfer has been rejected, it will appear on the Pending Transfers page. The transfer can be edited and submitted again for approval, or it can be deleted if it is no longer valid.

  1. On the LCR menu bar, click Finance then Transfers.
  2. The Pending Transfers tab will display a list of all transfers that were rejected and might require additional information or correction.
  3. To edit the transfer, click the Ref# (reference number).
    Note: If the transfer should be deleted, click the trash icon on the row of the transfer.
  4. When edits are complete, click Save, and the transfer will be submitted for approval.

Transfer Summary

The Transfer Summary screen displays all transfers that have been approved.

Views are available by:

  • Current year, previous year, and custom dates.
  • All active unit categories and subcategories.
  • All types of transfers.

Select the Ref# to see the details of a transfer, to attach documentation, or to print the details.

Note: Attachments are not visible by the receiving unit when a transfer is initiated by another unit.

MLS Procedures

To transfer funds from one unit to another in your stake or district:

1. From the MLS menu bar, click Finance.

2. Click Enter Transfers. The Transfers page appears.

3. Enter information in the Comment field.

4. On the left side of the screen, select the category to transfer money from (Source) and the amount of money you would like to transfer.

5. On the right side of the screen, click the Category button.

6. A new window opens. Select the Account and the Category to receive the transfer funds then click OK.

7. Click Save then click Close.

In order to complete the transaction and transmit the funds, two authorized individuals in the unit must enter their usernames and passwords.
