Completed New or Enhanced Functionality

Finance Related

  • Added a disclaimer that will appear when the spouse is selected to be shown on donation reports.
  • Added the option to allow the user to be redirected to Leader and Clerk Resources (LCR) when requesting a financial statement.
  • Added a redirect to access the ward and stake financial audit forms in the Local Unit Financial Auditing System (LUFAS) when the user clicks the link to access them in MLS. For units with unreliable Internet connections, these forms are still accessible in MLS.

Membership Related

  • Added a redirect to access and print attendance rolls in Leader and Clerk Resources (LCR) when the user clicks the link to print them in MLS.

Issues Resolved

Finance Related

  • Updated the German translation of the message that appears when an error occurs with a disbursement reference number.

Membership Related

  • Resolved the issue where some individuals who are serving in callings outside of their home unit couldn’t be added as MLS users.
  • Resolved the issue where mission presidents who use MLS and who have branches reporting to them were not able to see the Tithing Declaration Report for those branches.

Release Notes for MLS 3.8.1

Completed New or Enhanced Functionality

Finance Related:

  • Improved batch transmissions.
  • Year-end and tax date changes:
    • Tithing settlement will occur on a calendar year basis.
    • A calendar year will be used for all budget screens.
    • A custom date range has been added to donor reports.
  • Under View/Update Donations, users can now filter by a donation source.
  • Under View/Update Donations and View Transfers, the Cleared status will now read “Approved,” which means that the transaction has been received and processed at Church headquarters.
  • Adjustments to donations older than one year cannot be made in MLS.

Membership Related:

  • Added an MLS language selection prompt when installing MLS. In addition, added a button to change the MLS language from the MLS log-in screen.
  • Removed the Seminary Enrollment Progress and Released-Time Preregistration links from MLS for units in the United States and Canada. Registration is now performed online by accessing seminary.lds.org/register.
  • Removed the Export option from the File tab of the MLS menu bar to better ensure that membership data is kept secure.
  • In support of the Church’s data privacy policy, removed the ability to create non-member records. Please note that this does not take away the ability to record the marriage of a member to a non-member spouse.

Issues Resolved

Finance Related:

  • Resolved an issue so that MLS will now require all applicable date fields to be entered on the donation slip screen.
  • Improved performance of the budget screens.
  • Added a warning that is given when a user clicks the New Slip button when entering donations. The New Slip button should only be clicked when more than one donation slip has been included in the donation envelope.

Membership Related:

  • Resolved an issue for districts using MLS where the district councilors were not appearing on the Officers Sustained form.
  • Resolved an issue where leaders in branches were not displaying in the Key Leaders section of the Membership Record Audit Report.

  • Updated the column headers on the Quarterly Report to show the actual year for current and previous years (for example, “2013” instead of “% 1 Year”).
  • Updated the help text regarding prospective elders on line 5 of the Quarterly Report to make it clearer.

Finance Related:

  • Resolved an issue where missions using MLS that have branches reporting to them were not able to authorize finance batches.
  • Resolved an issue in ePay (electronic disbursing) units that was causing duplicate electronic payment reference users.

Membership Related:

  • Resolved an issue where the presidencies in the Aaronic Priesthood quorums and Young Women classes were not being displayed on the Officers Sustained form.

Release Notes for MLS 3.7.4

Finance Related:

  • Updated the Budget, Tithing Settlement, and year-end processes to occur on a calendar year. Donor reports will now have the option to use a custom date range or use a specified fiscal year.

Membership Related:

  • This release will prepare MLS for the upcoming Leader and Clerk Resources (LCR) 3.0 release in the first half of 2015. It will introduce some new organizations and sub-organizations for grouping callings and will also allow bishoprics including clerks and executive secretaries as well as Melchizedek Priesthood and auxiliaries presidencies to update calling and organization (class, group, quorum, and home and visiting teaching) data using LCR. Once units are able to update this information in LCR, it will become read-only in MLS.

Issues Resolved

Finance Related:

  • Fixed issues related to electronic payment payees being required to enter fields that were not relevant.  This issue only affected electronic payment units with more than one internal account or more than one EFT method.
  • Fixed an issue with the Cash on Hand balance not including transactions entered on the last day of the month which caused the balance to not match the Church Unit Banking Services (CUBS) system.
  • Updated several German translation strings.

Membership Related:

  • Resolved an English date formatting issue on baptism and confirmation certificates in Chinese units.

  • Updated the electronic payment payee selector box to default to blank to ensure the correct value is selected.

Membership Related:

  • For stake MLS units in the United States and Canada only, updated the Recommendation for New Bishop and Recommendation for New Counselor to Stake President forms to include the option to submit the recommendations electronically through LDS.org.
  • Updated the Confidential Reports and Forms menu items to redirect users to Leader and Clerk Resources (LCR) on LDS.org to complete the forms electronically and review the reports.
  • Added a new option on the MLS menu bar, under File, called Request Calling Refresh Data, which allows users to request a full refresh of calling and organization data from the Church headquarters database.
  • Added Print and Print Preview buttons to the Custom Position Review report.

Finance Related:

  • Resolved an issue where the Budget Allowance Summary Report was not correctly displaying the income, expenses, and transfers balances.
  • Resolved an issue with unit-to-unit transfers within a stake where balances were not properly validated.
  • Resolved an issue where MLS would put a donation batch in an error status if the batch was saved in an incomplete status.
  • Resolved an issue where MLS was not properly recording weeks with no financial information.

Membership Related:

  • Resolved an issue where MLS was not always correctly processing the initial membership refresh file for newly created units.
  • Resolved an issue where certain custom callings were displaying as read-only and could not be updated.
  • Resolved an issue where the urgent task message was not always displaying when there were urgent tasks to be completed.
  • Resolved an issue where customizing data fields to print on the Abbreviated Directory of Members list was not properly printing the list.
  • Resolved an issue where using the criteria Organization Class in a custom report was not returning the correct results.

  • Resolved an issue where when processing a membership refresh file, MLS was transposing “Attended sacrament meeting at least once last month?” with “If 12 or older, has a calling or responsibility?” in the Convert Detail section of the Quarterly Report. Please review the converts in the Convert Detail section of the Quarterly Report for the second quarter of 2014 to ensure these fields are recorded accurately, and correct them as needed.
  • Resolved an issue where new units were not properly receiving the organizations and callings files from Church headquarters after installing MLS.
  • Resolved an issue where new units could not access System Options after installing MLS.
  • Resolved an issue where new units were unable to enter their meeting times in MLS after installing MLS.

Release Notes for MLS 3.7.1

Completed New or Enhanced Functionality

Finance Related:

  • Added the ability for units to transfer funds to other units within their own stake or district. Transfers can occur only between similar categories and will not allow the unit to overdraft the category balance. Dual authorization is required for any transfers to another unit. Transfers can be initiated only by the sending unit.
  • Added the ability to enter the member record number (MRN) for a donor that is a member of another unit (for example, for a grandparent contributing to a grandchild’s mission fund). To enter the MRN, select “Member of another unit” when recording the donation. After Church headquarters has processed the donation, MLS will display a message and show the donor name entered and the donor name associated with the MRN. If they do not match, please contact the Global Service Center
  • Updated MLS to show only finance authorizers in the list of users when financial authorization is required.

Membership Related:

  • Updated MLS to use the Leader and Unit Change Request form to record district presidency counselors in the same way stake presidency counselors are recorded.
  • Added a "Print" button on the print preview page for membership record update reports.

Issues Resolved

Finance Related:

  • Resolved an issue where units using electronic pay were not able to adjust the categories for posted disbursements.
  • Resolved an issue where purchasing card beginning balances were incorrect due to an end-of-year process.
  • Resolved an issue where expense reports were not always being populated correctly when they were printed.

Membership Related:

  • Resolved some minor data display issues on the Quarterly Report.
  • Resolved an issue where when moving members from their default class, quorum, or group, they did not always show as being able to be selected to be added to the new class, quorum, or group.
  • Resolved an issue where not all eligible students were showing on the Institute Enrollment Progress and Institute Attendance reports.
  • Resolved an issue where custom positions created by wards were available to stakes to assign members to and custom positions created by stakes were available to wards to assign members to.
  • Resolved an issue where when creating or running a custom report that uses the calling criteria it would frequently take a long time for the criteria or results to show.
  • Resolved an issue where MLS showed the names of stake organizations instead of district organizations in District MLS.
  • Resolved an issue where some names entered could contain characters that were not allowed for the language being used.
  • Resolved an issue where when a class was split, the original class still showed all members until the organization panel was closed and then reopened.
  • Resolved an issue for Mongolian units where the Directory of Members report was not being formatted correctly.

Release Notes for MLS 3.7.0

Completed New or Enhanced Functionality

Membership Related:

  • Added support for the revised Quarterly Report. Please note that units will not see the revised Quarterly Report in MLS until 1 April 2014, at which point they can record and submit their data for the first quarter of 2014. For more information on the revised Quarterly Report, refer to the letter sent to priesthood leaders from the First Presidency regarding conversion and growth on 15 December 2013.
  • The Graduation section for Seminaries and Institutes that was previously available in MLS has been removed. As seminary and institute programs have moved to new systems, these reports were no longer functional. Information about students who will be eligible to receive certificates will be provided to you by seminary or institute personnel. They will also provide the printed certificates.  If you have questions about this change, please contact your seminary or institute representative.

Issues Resolved

Membership Related:

  • Resolved an issue where recording the blessing of a child in a unit that is not his or her home unit did not create a membership record. Now when the blessing is recorded, the membership record for the child is created and sent to his or her home unit.
  • Resolved an issue where, when combining two households, the correct address was lost for the combined household.
  • Resolved an issue where members with stake leadership callings were being released in MLS when their household records were moved to another unit within the stake.

Finance Related:

  • Added the donor address to the Tithing Settlement Statement.
  • Resolved an issue where donation instruments were grayed out on the Donation tab after clicking on the Review tab.
  • Added the posted date to the Bankcard Activity report for units that use bank cards.
  • Updated the label for expenses coming from the finance system to display as Auto Debit instead of Check.
  • Added the ability to capture and report donation check numbers in Italian units for tax purposes.

Membership Related:

  • Added an option for users to click a button in MLS to be taken to Clerk Resources on LDS.org when they access functionality in MLS that is now available through Clerk Resources.

  • Resolved an issue where the member’s name was blank on the Tithing and Other Offerings Statement for out-of-unit donors.
  • Resolved an issue where MLS allowed the instrument type to be changed after a finance batch was closed.
  • Resolved an issue where MLS allowed checks to be voided after the escheatment period had ended.
  • Resolved an issue where deleting an expense that had been in an error status but that had been adjusted did not delete adjustments to the expense.
  • Resolved an issue where acting leaders were not required to have a second finance batch authorizer if it was a unit that disburses batches electronically.
  • Resolved an issue where MLS was not resetting to the posted date for donation adjustments that were received from headquarters.

Membership Related:

  • Resolved an issue where MLS was not always using the correct rules for determining member eligibility (such as gender or priesthood office) and was also allowing more than one member to be added for some positions where only one member is allowed.
  • Resolved an issue where out-of-unit members could not be added to leadership positions in the following organizations or groups: Relief Society, elders quorum, high priests group, single and young single adults.
  • Resolved an issue where home and visiting teaching visits recorded for unassigned households or sisters were not being properly transmitted to stake MLS.
  • Resolved an issue where the date the district supervisor was sustained was not a required field when saving information for a home or visiting teaching district.
  • Resolved an issue where those with the priesthood office of elder couldn’t be selected as the person who set apart a district clerk or district executive secretary.
  • Resolved an issue where the address and contact information of the remaining household was not being retained when a household was divided in a unit.
  • Resolved an issue where acting leaders were not displaying under their assigned organization.
  • Resolved an issue where a user would be prompted to submit the Membership Record Audit Report after he or she had already submitted it.
  • Resolved an issue for Tongan units where the Individual Ordinance Summary was using the wrong translation for the baptism date field.
  • Resolved an issue for Korean units where custom reports were not using the Korean calculated age of members.

  • Added the Primary Certificate of Advancement to MLS. To access the certificate, click Reports/Forms from the MLS menu bar, and then click Certificates.
  • Updated the quorum and class organizations to only include those individuals that meet the quorum or class criteria when a user clicks the Select All button to add quorum or class members.
  • Updated the Help menu item on the MLS menu bar to include a link to the Record-Keeping and Technology Support pages on LDS.org.

  • Updated the password-changing prompt for finance batch authorizers to only appear if the unit disburses batches electronically.
  • Modified a requirement for finance users in electronic pay units to no longer have to have a second user approve their password change when they change their own MLS user password.

Membership Related

  • Resolved an issue where not all eligible youth were displaying on the Seminary Released-Time Preregistration and Seminary Enrollment Progress screens.
  • Updated the Quarterly Report to only show whole numbers for percentages.
  • Resolved an issue on the Child Blessing Record form where the blessing date field would be cleared after selecting the person performing the ordinance.
  • Resolved an issue where printing a Melchizedek Priesthood ordination certificate from within the member record screen required the user to type in the position of the stake or district representative at the ordination. Now the user can select the position from the look-up selector.
  • Resolved an issue where, when printing lists of members within an organization, the name of the organization wasn’t showing on the list.
  • Updated some Indonesian text translations.

  • Modified the default transaction sort order on financial reports to be by posted date.
  • Added a requirement for a secondary approval when an MLS user attempts to link another MLS user to a position that is allowed to authorize financial batches. This change affects only units that use electronic pay.
  • Added a setting to allow or disallow checks as a form of payment for units using Pay through Ward or Branch for Online Store Purchases (currently Brazil only).
  • Updated MLS to prepopulate the posted date for finance items including: donations, disbursements, and transfers.
  • Added a requirement for finance users to change their MLS user password every 6 months. This change affects only units that use electronic pay.
  • Updated MLS to grey out the void button for checks in an error status.
  • Added the month next to each quarter allowance on the Budget Allowance Summary Report.
  • Added a message to notify users of expenses or donations that are in an error status and need to be resolved.

Membership Related

  • Added the Recommend to Perform an Ordinance form. To access the form from the MLS menu bar, click Membership, then Ordinances, and then Forms, and then select it from the list.

Finance Related

  • Resolved an issue where MLS was sending invalid data for some donation adjustments.
  • Updated MLS to add unused, undisbursed, or spoiled checks to the authentication queue.
  • Updated the balance calculation for the bank card reimbursement category to use the same calculation that is used on the expense panel page.
  • Updated MLS to facilitate the processing of multi-slip donation adjustments in CUBS.
  • For units using Pay through Ward or Branch for Online Store Purchases (currently Brazil only), added a requirement for users to enter all 10 digits of the quote receipt number, including leading zeros.
  • Resolved an issue where the cash on hand balance calculation was not including adjustments.
  • Resolved an issue where for some units the remaining balance on the Expense Report was not matching the Income and Expense Summary Report balance.
  • Resolved an issue on the Income and Expense Detail Report where selecting All for the date range on the Ward Missionary Fund Details by Subcategory section was not displaying all transactions.

Changes Related to Membership

  • Added the User Audit Report which can be accessed by bishops, branch presidents, stake presidents, and district presidents from the MLS menu by clicking Edit and then System Options, and then by clicking Audit Report in the upper-right corner of the page. This report provides MLS user details including the change history and status of each account.
  • Resolved an issue that prevented men who hold the office of elder in the Melchizedek Priesthood from being added as district counselors.
  • Resolved an issue that prevented being able to add women to custom Boy Scout positions.
  • Resolved an issue that prevented being able to print a roll that included only high priests.
  • Resolved an issue that caused seminary students to be set as fourth year when changing them to post seminary.
  • Resolved an issue that caused the prior preferred name to remain unchanged when the legal name was changed.
  • Resolved an issue that caused members in Korean units to have their ages displayed incorrectly.

Changes Related to Finance

  • Resolved an issue where Australian units had out-of-turn budget allocations that were not appearing in the budget allowance summary report.
  • Resolved an issue that was allowing the user to save a batch if a negative value existed on a donation slip.
  • Resolved an issue that was allowing users to change subcategory names under the Ward Missionary Fund.

  • Added member locating steps: Wards and branches are now required to complete nine member locating steps before a member’s record can be transferred to the address unknown file.

Release Notes for MLS 3.5.0

Date Released: 6 November 2012

Changes Related to Membership

  • Added new organizations: Added new organizations for positions that were previously in the Other Callings organization, including several new callings that were added to MLS in July 2012. To review the new organizations and the positions assigned to them, click More in the Organizations panel, and then click Other Organizations in the Bishopric/Other panel. The ability to create custom organizations under Other Callings was removed.
  • Added the capability to merge classes: Classes in Primary and Sunday School can now be merged together if needed. The ability to split Primary and Sunday School classes is still available as well. The ability to create custom classes in Primary and Sunday School was removed. Similarly, all custom classes were removed, and those classes and class members were reset to the standard classes. To make changes to standard classes and class member assignments, you can split or merge the classes as needed.  
  • Updated forms: Minor updated versions of the Report of Church Disciplinary Action, Application to the First Presidency and Report of Administrative Action were added.
  • Resolved minor membership related issues.

Changes Related to Finance

  • Updated Batch approvals: A member of the bishopric (bishop, 1st, or 2nd counselor) must be at least one of the approvers of a finance batch. The other approver can be the ward clerk, ward assistant clerk, ward finance clerk, ward executive secretary or similar position at the stake level. MLS version 3.5.0 has been updated to enforce this Church policy. Units should review the leadership callings section in MLS. To do so, from the MLS menu bar click Organizations and then click Bishopric to ensure leaders are assigned to the appropriate position.
  • Added financial error correction messages: When information for a transaction between MLS and Church headquarters or the assigned administrative office is not properly synchronized, a new series of messages appears informing the clerk of the problem. Included in the message is a link that opens the transaction that must be corrected.
  • Added a new status for transactions: A new “Error” status will appear in the status column if there is an error with a transaction. The transaction must be fixed and sent to Church headquarters or the assigned administrative office as soon as possible.
  • Improved missing weekly donation message: When donations are not recorded for a week, the next time the clerk clicks Enter Donations, a message displays asking the clerk if donations were received for the previous week. If the clerk clicks No, the message will close and the clerk will be able to continue using MLS. If the clerk clicks Yes, a new donation batch will open so donations can be entered for the missing week.
  • Updated the restore from backups and synchronizing financial information process: If the MLS database is restored from a backup, MLS will now compare donation and expense information in the backup file with financial information sent from Church headquarters or the assigned administrative office to ensure both are the same.
  • Improved electronic payment security: An approver for an electronic payment cannot approve a payment for himself. This change requires that if a clerk or priesthood leader should receive an electronic payment, a different person must approve the payment. Those who can approve such payments are stake presidents, bishops, branch presidents, and counselors to those priesthood leaders and their ward and finance clerks. The approver must have finance rights in MLS.
  • Enhanced donor merge capability: The merge donors functionality and instructions have been improved.
  • Changed automated payment for fast offering expenses to require recipient information: MLS now prompts the clerk to populate the fast offering recipient field for fast offering expenses paid on behalf of the unit through an automated process (for example, specifying LDS Family Services as the fast offering recipient). In the past, MLS only required recipient information when a check was used for these payments.
  • Updated signature card: The format of the signature card and associated instructions have been updated.
  • Added a reconciliation section for the Budget Allowance Summary Report: This new section reconciles the unit’s assigned budget balance to the Income and Expense Summary Report budget balance.
  • Resolved minor finance related issues.
